Destination wedding invitations: what to include and when to send them

A destination wedding asks more of your guests than a wedding in your hometown. They have to take leave, book travel, pack for several functions and find their way around a place they may not know. A good invitation answers all of that before they ask.

The timeline

  • Four to six months ahead: a save the date with the dates and the city.
  • Two to three months ahead: the full invitation with every function, the stay and the RSVP.
  • Three to four weeks ahead: final travel details: pick-up times, room allotments and a packing note.
  • A few days before: a reminder with the first function and the coordinator's number.

What a destination wedding invite should include

The basics

  • Your names, the dates and the city
  • Every function with its date, time, venue and dress code

Travel

  • The nearest airport and railway station, and how far the venue is from each
  • Whether you are arranging pick-ups, and from where
  • Suggested arrival and departure days

Stay

  • The hotel or resort, the check-in and check-out times, and whether rooms are booked for guests
  • Who is paying for what, if guests are booking anything themselves

Practical notes

  • The weather and what to pack: a shawl for an Udaipur winter evening, sunscreen for a Goa beach
  • A coordinator's name and number, separate for each side of the family
  • An RSVP with travel dates, so you can plan rooms and pick-ups

Popular destinations and what to mention

  • Udaipur, Jaipur, Jodhpur: palace and lake venues. Mention the cool evenings in winter, and that some heritage venues are a drive from the airport.
  • Goa: beach and resort weddings. Mention the dress code for beach functions and the travel time between venues.
  • The hills (Mussoorie, Shimla, Rishikesh and others): mention road travel times, the cold, and any limits on vehicles near the venue.
  • Abroad: mention visas early, the currency, and the time difference for calls.

Why a wedding website suits destination weddings

A destination wedding has more details than a card can hold, and more of them change: pick-up times, room numbers, the weather plan. A wedding invitation website keeps everything on one link that guests can check from the airport, the taxi and the hotel lobby. You update it and every guest sees the latest version.

Our Prem Express design was made for exactly this: a toy train carries guests through the hills, and every station is one of your functions. Or see the full wedding invitation checklist.
